Set clear licence dates and geographic scope, then track renewals, expiry and online use in a simple register.

Record the licence’s time and geographic limits in the agreement, then copy the key details into a tracking register. Terms such as ‘one year’ or ‘Australia only’ need enough detail to handle a delayed campaign, a page that stays online or a change in distribution.

Set a workable term

State whether permission begins on signing, delivery or first public use. Give an end date or a clear method for calculating it. Decide what happens to material made or published during the term.

For example, may remaining printed copies be sold afterwards, and must a web page be removed or may it stay in an agreed archive? Those outcomes depend on the terms the parties choose.

Record how renewal works: who may request it, when to ask and whether continued use requires a newly agreed fee. If an exclusive period and a separate non-exclusive permission end on different dates, record both. A licence limited by a specified number of reproductions may also need that quantity recorded, even if a calendar end date is less useful.
