Setting a realistic moderation commitment
Set paid community rules, report handling, moderator cover and response expectations that match the time and tools you have.
Set a moderation commitment: decide when reports will be reviewed, who can act on them and what happens during an absence. Tell members those limits. A paid space needs a dependable response route, but a solo host should not imply that every post is watched continuously.
Define the work
List what members may post and the issues that may need a decision. A group sharing work in progress may need rules about permission to reuse images and respectful critique.
A professional group may need limits on promotion and sharing client information. Write rules members can understand and moderators can apply.
For a report, someone must receive it, read the context, decide on an action, communicate where appropriate and record what happened. A filter can flag certain content but cannot settle every context-dependent decision.
Use clear guidelines, accessible reporting and consistently applied moderation procedures, in proportion to the space you run.
Choose coverage you can provide
Set a normal report-review window based on available working time and the discussions you host. Tell members where to report a concern and when that route is checked.
If a serious concern arises while the space is unattended, identify any separate reporting route offered by the hosting service. Do not describe an unattended inbox as an urgent-response service.
Record five operating decisions:
- Where member reports arrive.
- Who normally checks them and when.
- Who can remove content or restrict participation.
- Who covers leave or illness, if cover is promised.
- When a concern goes to the hosting service or another appropriate route.
If a live discussion requires active oversight, schedule a moderator for it or narrow when participation is open. Check the service’s actual controls before describing that arrangement to members.
Give helpers clear authority
If a trusted member helps moderate, specify which decisions they can make, what information they can see and when they should hand a case back. Do not assume a volunteer can provide unlimited cover.
Patreon’s help centre includes guidance on building community with chats. Moderation tools and access rules can vary between services, so check the service’s actual documentation rather than assuming one platform’s arrangements apply everywhere.
Keep a brief private record of a report, relevant rule, action and follow-up. Share details only with people who need them. Give members a way to question a decision without making a private report public.
Review the commitment
Compare report volume, unresolved cases and time spent with the coverage you promised. If it becomes unworkable, add suitable cover, narrow the format or change the discussion schedule.
Explain material changes to affected members and check their accepted terms. Moderation work belongs in the capacity plan for the offer.
